The Consulate General of Denmark in Lagos is looking for a dynamic, proactive, effective, and efficient Head of Administration to join our Team. To work closely with our Head of Mission, as the ultimate decision maker.

About Us:
The Consulate General of Denmark in Lagos is committed to promoting sustainable development and fostering strong bilateral relations between Denmark and Nigeria. We are currently seeking a dynamic and experienced professional for the position of Head of Administration. This role involves overseeing and managing the administrative functions of the Consulate General to ensure the efficient operation of daily activities.

SCOPE OF RESPONSIBILITIES

  • Provide strategic and operational task and process leadership for the administrative department, ensuring alignment with the Consulate's goals, critical compliance, and objectives
  • HR: Assist Head of Mission where relevant on confidential matters, such as maintaining contractual matters, personnel database maintenance. Drive and coordinate local general staff meetings and ad hoc process relevant structures to ensure best possible efficiency of the office.
  • Finance: Develop and implement administrative policies and procedures to enhance operational efficiency. Manage administrative functions such as payables, receivables management & controlling, vendor management, delivering to our Virtual Financial Team (VFT) in Tallinn, ensuring prudent financial practices and overseeing procurement, expense approvals, and financial reporting. Keeping authorisations up to date internally and in all banking relationships. Secure budget input from the Head of Mission (HoM) and VFT in developing the budgets. Collaborate with HoM to develop and drive investment proposals based on the needs of the Consulate.
  • Procurement: Manage procurement processes and operations end-to-end from tendering, RFQs, procuring where required, contracting and approvals. Contract management including market surveillance to obtain best price/quality and service levels. This Includes Consulate Facility Management contracts.

  • Supervise the maintenance and security of the Consulate's facilities in compliance with the travel and national security processes, instructions, and standards.

  • Coordinate logistics for official events, visits, and meetings and ensure compliance with diplomatic protocol and standards.

  • Oversee information management systems, including document control and archiving.

  • Liaise with external partners, vendors, and government agencies as necessary.

  • Manage office supplies, equipment, and maintenance.

  • Stay informed about best practices in embassy administration and implement improvements.

QUALIFICATION REQUIREMENT

  • Bachelor’s degree in business administration, Public Administration, or a related field. Advanced degree preferred.
  • Financial and accounting skills an advantage
  • Proven experience in administrative leadership roles, preferably within a diplomatic mission or international organization.
  • Strong financial management skills.
  • Excellent interpersonal and communication skills.
  • Ability to work effectively in a multicultural environment.
  • Knowledge of Nigerian labor laws and diplomatic protocols.
  • Focus sector experience not a requirement but is a plus.
  • A commercial mindset but can also work with government stakeholders.
  • Fluency in English - spoken and written. Knowledge of Scandinavian culture is a benefit.
  • Excellent communication skills - an effective cross-cultural communicator
  • Ability to achieve results in line with set KPIs.
  • IT proficiency, including Microsoft Office skills.
  • Team player as well as a keen interest and willingness to share knowledge with - and learn from – colleagues
  • Proactive, intuitive, and dedicated with high adaptability
