We are currently seeking a structured, and internationally experienced professional for the dual role position of as PA to the Consul General & Finance and Admin Officer. 

This role involves overseeing and managing the administrative functions of the Consulate General to ensure the efficient operation of daily activities and to secure that our back office, finance and admin processes are running in a smooth and effective manner. In line with our internal compliance needs and to secure a seamless day to day operating room for the office and Head of Mission.

Main tasks and responsibilities, but not limited to:

Personal Assistant (PA):
• Forward planning to Head of Mission and assisting the operational planning including local stakeholder management, assist with meeting preparations for Head of Mission and updating of the local contact database
• Draft letters and speeches for Consul General on general matters, and where relevant in coordination with colleagues in sector teams
• Admin lead on general office visits and events related to the general topics of the Consulate. In close coordination with logistics and security team in Lagos and our National Security advisor in Abuja
• Arrange and coordinate operations in the office around internal and external general meetings, in close collaboration with the program lead holders, security, logistics and other relevant stakeholders. 
• Assist where possible on bookings, external engagements and local vendor contacts, such as car hire, preferred hotels and venues
• Coordinate activities, events and inquiries primarily from local FAQs and diplomatic missions in Lagos area
• Co-Arrange and coordinate where possible, VIP and delegation visits to Lagos, in collaboration with relevant Embassy colleagues in Abuja and Consulate team colleagues. 
• Hold where possible the registrar role in Public 360 and obtain within a reasonable time the role as super user to support with technical needs in the office. 

Finance and Administrative Officer role:
• Build and maintain close collaboration with our virtual finance team (VFT) in Tallinn office. 
• Management, monitoring and quality control of transactions, records and receipts.
• Initiate NGN bank payments and coordinate local pre paid bank card operations and relevant voucher reporting needs
• Handle relations to vendors/contractors/suppliers, including IT and telecommunication. 
• Preparation of budgets and Quarterly report in RASK (Our quarterly and yearly financial reporting model). 
• Quality assurance and control of expenditures and budget procedures.
• Administration of VAT refunds. 
• Oversee the operations of Compound Facility Management contract in close collaboration with Head of Mission and vendors
• Contact person on maintenance and repairs at the Chancery and posted staff houses. 
• Maintaining inventory lists

Qualifications and competences required:
• Preferable 3-5 years of experience working as a PA / EA
• Preferable experience from an international organization or company, as you will be working in a diplomatic unit, and part of an international structure and reporting model
• Experience in financial controlling, accounting and administration
• IT proficiency and solid understanding of MS Outlook, Word, Excel, PowerPoint. 
• Advantage if you can document experience from financial systems like Navision, travel settlement systems and customer invoicing modules, fx. in CRM systems.
• A structured mindset and excellent planning and coordination skills.
• A strong sense of accuracy and attention to detail
• A high sense of responsibility and proactivity.
• Excellent command of English – both oral and written.
• Ability to work under pressure and handle confidential matters.
• Ability to be flexible and willing to adapt to the changing needs of the Consul General.

• You will be offered full-time employment on a local contract, 2 years with an option for extention.
